- Care-related information: the services requested, desired start date, hours of care needed, and payment or insurance method (such as MaineCare, private pay, or long-term care insurance).
- Caregiver applicant information: resume details, work history, references, certifications, and background-check results for individuals applying to work with us.
- Website usage information: standard log data such as IP address, browser type, pages visited, and time spent on the site.
2. How We Use Information
We use your information to provide our services, respond to inquiries, and send SMS updates and notifications as requested. Specifically, we use the information we collect to:
- Respond to referral submissions, contact-form inquiries, and phone calls.
- Schedule and coordinate in-home assessments and care visits.
- Match clients with qualified caregivers and build personalized care plans.
- Verify MaineCare eligibility, insurance coverage, or private-pay arrangements.
- Send appointment reminders, schedule confirmations, schedule changes, and other operational text messages and emails to clients, family members, and caregivers who have opted in.
- Process applications and onboard new caregivers and staff.
- Comply with legal, regulatory, licensing, and contractual obligations, including those required by the Maine Department of Health and Human Services and MaineCare.
- Improve our website, services, and client experience.
3. How We Share Information
We do not sell your personal information. We share information only as necessary to deliver our services, comply with the law, or operate our business. Categories of recipients may include:
- Caregivers and staff assigned to provide care, on a need-to-know basis.
- State agencies and payers such as the Maine Department of Health and Human Services and MaineCare, as required for licensing, billing, and program compliance.
- Service providers who help us operate the business, such as scheduling software, electronic visit verification (EVV) systems, payroll providers, background-check services, and our website host.
- Legal and regulatory authorities when required by law, court order, or to protect the rights, safety, or property of ACE Home Care, our clients, or others.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
4. SMS & Phone Number Data
When you provide your phone number through our contact form, referral form, by calling us, or by texting us, we may use that phone number to send you Customer Care text messages — including appointment reminders, schedule confirmations, schedule changes, follow-up communications, and replies to questions you have asked us.
You can opt out of text messages at any time by replying STOP to any message we send you. For help, reply HELP. Message and data rates may apply. Message frequency will vary.

5. Data Security

As a licensed Personal Care Agency in the State of Maine, ACE Home Care follows applicable federal and state laws governing the privacy of health information, including the Health Insurance Portability and Accountability Act of 1996 (HIPAA) where it applies to our operations. Protected Health Information (PHI) is handled under our separate Notice of Privacy Practices, which is provided to clients at the start of services and is available upon request.
7. Your Rights & Choices
You may:
- Request access to the personal information we hold about you.
- Request correction of inaccurate information.
- Request deletion of your information, subject to our legal and recordkeeping obligations.
- Opt out of SMS messages by replying STOP.
- Opt out of marketing emails by using the unsubscribe link in any email or by contacting us.

8. Children's Privacy
Our website and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected such information, we will delete it. Care services for minors are arranged through the minor's parent, legal guardian, or authorized representative.
